Importing Contact Data From Other Programs Into Top Producer 7i

You can import data from a number of programs. The only requirement is that the data being imported must be saved as a CSV File A .CSV file is a simple file (consisting of one record per line, a comma separating each field, and the values in the first row naming the columns) that is readable by virtually any database or spreadsheet program..

To import data from another program into Top Producer 7i, you must first export the data from the other program, and then import this data into Top Producer 7i.

Import your data into Top Producer 7i More Info:

It may take some time to import your data into Top Producer 7i. During this time, you won't be able to log in to the program until the import is successful. When it is safe to access your data in Top Producer 7i, you will be sent an email confirming the data import was successful.

Warning:  If you import the same file more than once, the contact information will be duplicated in Top Producer 7i.

  1. Double-click the TP Data Transfer.exe file located on your desktop.

  2. From the list of programs, select the program that the contacts were exported from. For example, select Maximizer CSV file. Click Next.

  3. Notes:

    • If you do not see the program you used to create your source file in the list, you can still import your data. Select CSV file from the list.

    • If you want to import contact data from Top Producer System 6 or 6i, export these contact records from Top Producer System 6 or 6i first, and then select Top Producer 6i/6 TXT file from the list in the Transfer Wizard. For information about transferring more than just contact data from Top Producer System 6 or 6i, see "About Converting your Top Producer System 6 or 6i Data".

  4. Type your Top Producer 7i Username and Password in the text boxes. Click Next.

  5. To select the source file that you want transferred into TOP PRODUCER 7i, click Browse. Navigate to the file location and click Open. The selected file and its path appear in the Select data file section. Click Next.

  6. To define how data is imported into TOP PRODUCER 7i, you will need to map your data. For example, fields must be mapped correctly to ensure that your contact's first name is mapped to the First name field in TOP PRODUCER 7i.

  7. Once you've mapped your data, click Next.

  8. The next step - which is very important - is to assign one or more unique contact types (for example, "Imported [current date"]) to identify the imported contacts. Any contact types selected will be assigned to ALL of the imported contacts. Select one or more contact types from the list, or type in the Contact types field. If you type multiple contact types, separate each with a comma. Click Next.

  9. Note:  Assigning a unique contact type makes locating the imported contacts quick and easy. If you don't assign a unique contact type and need to locate these contacts, you would need to search by one record at a time.

  10. The next step is to verify that the data is correctly mapped to the respective TOP PRODUCER 7i data fields. Compare each column's header with the data contained directly underneath it. For example, make sure that first and last name, address, etc, appear in the correct fields. If data is not correctly mapped, note which fields are incorrect and click Back twice to correctly map your data. Click Next if your data is correctly mapped.

  11. When the import process is complete, an email confirming that the data import was successful will be sent to the email address you specify here. Enter your personal email address - not your email address for TOP PRODUCER 7i. Click Start to begin the import process.

  12. When the data transfer is finished, click Finish. When the data has been successfully imported into TOP PRODUCER 7i, you will be sent an email advising that the import process is finished. At that time, you can safely log in to TOP PRODUCER 7i and review the imported data.

  13. If you followed these instructions but your data does not import properly, then contact Technical Support since it may be necessary to send your data file to our Data Conversion department for alteration.
