Adding a new contact

Top Producer 7i makes it easy to enter detailed information about your prospects. Once you've entered their information, the contact will appear in the Address book, where you can schedule a follow-up activity or apply a follow-up action plan to ensure consistent communication.

To add a contact

  1. From the Contacts menu, click either Quick contact entry or Detailed contact entry. More Info:

    • Quick contact entry: Enter a contact's details quickly. Most action menu items aren't available if you choose this option, and only the main fields appear.

    • Detailed contact entry: Enter all contact information you have. All action menu items are available if you want to perform a task immediately after entering the contact (for example, apply a plan).

  2. Enter the contact's Name details and Contact information. For more information, see "Entering a contact's name details" and "Entering a contact's contact details".

  3. Important:  Assigning at least one Contact type is crucial to all of the target marketing concepts in Top Producer 7i. If you categorize your contacts in as many ways as you can, you'll be able to perform searches that generate lists of contacts for target marketing purposes.

  4. Enter the contact's Address details. More Info:

    • Select Make this a mailing address if you want to include this address for any future mail outs associated with the contact.

    • Click the Address details link to enter additional address information.

  5. Enter additional comments or details in the Contact notes section. For more information, see "Managing notes".

  6. Click the Property statistics tab to enter detailed information on the contact's property. For more information, see "Entering property statistics".

  7. Any information you enter on this tab will also appear in the Present home section on the Present/future home tab.

  8. Click the Present/future home tab to enter the contact's current property details and their ideal future home details. For more information, see "Entering present/future home information".

  9. Tip:  This information can later be used to search for matching buyers and sellers.

    Any information you enter in the Present home section will also appear on the Property statistics tab.

  10. Click the Pictures tab to load a picture of the contact, their property or a map. For more information, see "Adding or removing a contact's pictures".

  11. Click OK.

  12. If an existing contact in your database matches the contact’s information you have just entered, the Duplicate contact found dialog box opens.

    Note:  The duplicate contact check only appears if you have this option selected in the General preferences page.

  13. From the Duplicate contacts found dialog box, select how you would like to handle the duplicate contact. More Info:

    • Create new: A new contact record will be created and the existing record will remain untouched.

    • If you choose this option, you may be creating a duplicate contact record.

    • Update existing: Overwrite the information in the existing record with the information from the new record.

    • The information entered in the new contact record will overwrite the information in the existing contact record.

    • Use existing: Keep the existing contact’s information and disregard the information you entered in the new contact record.

    • The existing contact’s information will remain the same, and all data you entered into the new record will not be saved.
