Adding a new assistant

To open the Assistant information page: From the Setup menu, click Agent setup. Click Create new from the action menu.

If your subscription contains an assistant license, you can enter your assistant's information, including their login information, and their name and contact information, which can later be inserted into correspondence. You can control access to email, your schedule and add-on products. In addition, you can control whether the assistant can export or delete contact information (including all associated properties), listings, closings, referrals and leads.

Note:  If you are part of a team or partnership account, only the responsible agent The responsible agent is the account owner who is responsible for administering the team or partnership.  can add an assistant to a team/partnership account.

To add an assistant

  1. Enter the assistant's Login information and the access they will have to programs and program features. More Info:

    • Username - The username the assistant will use to log into Top Producer 7i.

    • Password - The password the assistant will use to log into Top Producer 7i. Enter the password again in the Confirm password field.

    • Note:  The Username and Password must each be a minimum of six characters.

    • Give this assistant access to create an email mailbox - This option gives the assistant access to email features.

    • Select the applications you want your assistant to have access to. A license is required for each user (i.e., you and your assistant can't share a product license).

    • Give this assistant access to Agent schedule - This option gives the assistant access to your Scheduler, which is where your appointments and calls for the day appear.

  2. In the Data export and deletion settings section, specify if you want the assistant to be able to export and delete data. More Info:

    • Select Allow this assistant to export data from Top Producer 7i if you want the assistant to be able to export contact information (including all associated properties), listings, closings, referrals and leads.

    • Select Allow this assistant to delete data from Top Producer 7i if you want the assistant to be able to delete contact information (including all associated properties), listings, closings, referrals and leads.

  3. Enter the assistant's Name details and any designations your assistant has acquired.

  4. Enter the assistant's Contact information.

  5. When entering phone numbers, hyphens are automatically inserted for you.

  6. Enter your assistant's Signature, so that it can later be inserted into outgoing email correspondence. More Info:

    • Use the HTML editor toolbar to format selected text.

    • Use the links to insert a company logo, insert a user photo, insert a marketing link or to clear the signature.

  7. Select the Time zone that applies to your assistant's area.

  8. If you are part of a team or partnership account, from the Default agent drop-down list box, select the agent that the assistant primarily works for.

  9. Click OK.

  10. If you are using the Top Producer 7i Setup Wizard, click Next. For more information on the next wizard step, see "Adding and removing agent or assistant pictures".
