Creating a plan activity

To access the Add new page: From the Setup menu, click Plans setup. From the Action plan name drop-down list box, select the plan you want to add an activity to. From the action menu, click Create new activity. Select the activity type, and then click Next.

You cannot create or make changes to activities in the default plans. If you modify a default plan, you will be prompted to save it as a personal plan. Check the info icon at the top of the page to see if you are working in a default or personal plan.

To create a plan activity

  1. Specify the following information for all new activity types:

  2. When creating a correspondence activity (i.e., email, letter, envelope, label or postcard), click the [Activity] template link to apply a template.

  3. When creating a letter, envelope, label or postcard activity, select how to sort the mailing by selecting an option from the Sort mail by drop-down list box.

  4. When creating an email, click Attachments to attach a file, such as a picture.

  5. When creating an email, select the Send this email automatically check box to send the email immediately after the plan is applied.

  6. In the [Activity] to be performed [#] days section, choose how to relate the activity's occurrence. More Info:

    1. If the activity is part of an action plan, select one of the following:

      • Set the activity to occur a number of days From plan starting date.

      • Set the activity to occur After preceding activity is completed, and then choose the preceding activity from the Select preceding activity drop-down list box.

      • This option ensures the activity only appears in the assigned user's Today's business after a preceding activity has been marked done.

    2. If the activity is part of a listing plan, select one of the following:

      • Set the activity to occur After listing date.

      • Set the activity to occur Before expiration date.

      • Set the activity to occur After expiration date.

      • Set the activity to occur After preceding activity is completed, and then choose the preceding activity from the Select preceding activity drop-down list box.

      • This option ensures the activity only appears in the assigned user's Today's business after a preceding activity has been marked done.

    3. If the activity is part of a closing plan, select one of the following:

      • Set the activity to occur After acceptance date.

      • Set the activity to occur Before closing date.

      • Set the activity to occur After closing date.

      • Set the activity to occur After the preceding activity is completed, and then choose the preceding activity from the Select preceding activity drop-down list box.

      • This option ensures the activity only appears in the assigned user's Today's business after a preceding activity has been marked done.

    Note:  Activities that are dependent upon other activities will have the date of Pending and will only appear in Today's business and My schedule once the preceding activities have been marked done or deleted.

  7. In the Perform event field in the Activity dates section, enter when you want to perform the event. You determined whether the event will be performed after a preceding activity or after the plan starting date in step 6.

  8. Note:  The starting date is defined when you apply the plan to a contact.

  9. If you want to be reminded (from Today's business) to perform the activity, set the Reminder field in the Activity dates section to the desired number of days.

  10. In the event that the activity is not completed on the scheduled date, you may want it to be removed from Today's business after a time. If so, click the Apply drop off to Today's business check box, and then enter the number of days in the Drop off field.

  11. If you do not want the activity to fall on the weekend, you have the option of checking If event falls on a Saturday and/or If event falls on a Sunday. Then choose to either move the event to the Previous business day or the Next business day.

  12. Click Finish.

  13. If you created an activity in a default plan, the Save action plan dialog box opens.

  14. Enter a new action plan name, and then click OK.
